Who is responsible for your information?

Pinehill Homes Partnerships Ltd is responsible for the personal information used to handle enquiries about our partnership and custom-build services. We are registered in England and Wales, company number 17417224, with our registered office at 24–28 St. Leonards Road, Windsor, England, SL4 3BB.

What we collect and why

We use names, contact details and the information you provide to respond to questions, assess land opportunities, discuss plot requirements and handle introductions or complaints. Depending on your enquiry, this may include site details and planning history, your company or client, preferred locations, budget, timescale and home requirements.

Information usually comes directly from you. An introducer may provide a landowner’s or client’s details on their behalf.

Our lawful bases

Our legitimate interests are responding to enquiries, assessing relevant opportunities and managing business relationships. We use only information needed for these purposes and balance those interests against your privacy rights.

Where you ask us to take steps towards a contract with you, or we deliver that contract, we may rely on contractual necessity. We also process information where needed to meet a legal obligation. Where we rely on consent, you can withdraw it at any time. You can object to direct marketing at any time.

Email links and website visits

Our enquiry buttons prepare a draft in your email application. Switching enquiry types does not submit your details to us. We receive your enquiry when you choose to send the email.

Website and email providers process technical information needed to deliver and secure their services, such as connection and device information. This website has no enquiry database or mortgage application form.

Who receives information

Information is handled by our team and service providers supporting our website, email and business administration. Where needed for your enquiry or project, relevant professional advisers or delivery partners may receive information. If you request a mortgage introduction, the specialist provider or broker explains its own use of your information.

We may also disclose information to authorities where legally required, including for fraud investigations. Where service providers process information outside the UK, applicable data-protection safeguards are required.

How long we keep information

Our enquiry-retention period is up to 12 months if you do not become a customer. For customers, it is up to 12 months after the relationship ends, unless records are needed longer for contractual commitments, warranties, legal obligations or claims.

Your rights

Depending on the circumstances, you can request access, correction, deletion, restricted use or transfer of your personal information. You can also object to processing and withdraw consent where we rely on it. These rights have legal conditions and exceptions.

Email us to make a request. We normally respond within one calendar month and do not charge a fee. If a permitted extension is needed, we will explain it.

Concerns and complaints

Please contact us if you are concerned about how we handle your information. You can also complain to the Information Commissioner’s Office.
